How to make an invoice with this tool
- Add your business details. Name, address, phone and email. If your state requires a contractor license number on invoices, add it too. They are remembered on this device for next time. You can also add your logo.
- Add your client. The person or company that pays the bill, and the job address if it is different.
- List the work and materials. One line per item: what you did, how many (hours, rooms, square feet or units) and the price for each.
- Add sales tax and any deposit. If the client already paid a deposit, enter it and the invoice will show the balance due.
- Choose the language and download. Press "Download PDF" and choose "Save as PDF" in the print window.
Write it in Spanish, send it in English
Many contractors think and write in Spanish but work for clients who only read English. If you open the Spanish version of this tool and pick the descriptions from the list (for example, "Pintura interior - mano de obra"), the invoice shows them in English ("Interior painting - labor") or in both languages. Anything you type yourself appears exactly as you wrote it, so keep custom descriptions short and clear.
What to include on a contractor invoice
- Your business name and contact information, so the client knows who to pay and how to reach you.
- A unique invoice number. Use a simple sequence (1001, 1002, 1003…). It helps you track payments and is useful at tax time.
- Invoice date and due date. "Due on receipt" is common for small residential jobs; larger or commercial jobs often use 15 or 30 days.
- A clear description of the work, with quantities and prices. Clear lines mean fewer questions and faster payment.
- Taxes, deposits and the balance due, shown separately.
- How to pay you: check, cash, Zelle, card… Put it in the notes along with any warranty on your work.
Invoice or estimate?
An estimate (or quote) is sent before the job and says what the work will probably cost. An invoice is sent after the work (or after each stage) and asks for payment. If the final job changed from the estimate, the invoice should show what was actually done.
Your information stays private
This tool runs entirely in your browser. What you type is saved only on your own device so you don't have to type your business details again. Nothing is sent to our servers.
Frequently asked questions
Is it really free?
Yes. There is no account, no trial and no limit on the number of invoices. The site is supported by ads.
Do I have to charge sales tax?
It depends on your state and the type of work. Some states tax labor, others only materials, and some have no sales tax at all. Check your state's department of revenue or ask a tax professional. If you charge tax, enter the rate and the invoice calculates it.
How do I save the invoice as a PDF on my phone?
Press "Download PDF". On iPhone, tap the Share button, then Print, then Save to Files. On Android, choose "Save as PDF" as the printer.
Can I edit an invoice later?
The last invoice you worked on stays in the form on this device. To start the next one, press "New invoice": your business details and notes are kept and the invoice number goes up by one. Keep the PDFs you send as your records.
Is this an official or legal document?
It is a standard invoice that you create and send yourself. Rules for invoices, licenses and taxes vary by state, so check the requirements where you work.
